1. Overview
Coventis AI (“Coventis,” “we,” “our,” or “the Platform”) provides an artificial intelligence contract intelligence platform engineered for legal professionals, corporate counsels, commercial attorneys, and institutional law firms. We understand that documents processed through the Platform constitute privileged, sensitive, and business-critical client materials.
This Privacy Policy and Terms of Service (collectively, the “Agreement”) govern your access to and use of the Coventis AI website, APIs, review studio, playbooks, and related software services. By creating an account, uploading contracts, initiating a free trial, or subscribing, you agree to these terms.
2. Data we collect
Account & Identity Information
When you create an account, we collect your business email address and an encrypted credential hash. If you authenticate via Google OAuth, we receive your verified email address, name, and OAuth identifier. We never receive or store raw unencrypted passwords.
Uploaded Contracts & Matter Documents
When you submit agreements for review, we process the document text and retain PDF files in your account-scoped encrypted storage. These documents are compartmentalized using Row-Level Security (RLS) and are accessible solely through your authenticated workspace sessions.
Analysis Artifacts & Custom Playbooks
Analysis outputs (including executive summaries, risk scores, clause citations, redline deviations, and negotiation playbooks) and custom firm standards you configure are saved strictly within your private workspace.
Commercial Billing Data (Paddle)
Subscription transactions and payment methods are processed directly by our Merchant of Record, Paddle.com Market Ltd. Coventis AI does not store or process raw credit card numbers or banking credentials. We receive transaction identifiers, subscription status, billing country, and tier entitlements from Paddle via secure webhooks.
Operational Telemetry
We collect essential diagnostic logs (request timestamps, HTTP status codes, error events, and quota consumption) for system reliability, security auditing, and quota tracking. These telemetry logs do not index contract text.
3. How we use your data
We use your information strictly and exclusively to:
- Execute the contract review and clause deviation analysis requested by your workspace
- Authenticate your identity, enforce session tokens, and maintain Row-Level Security isolation
- Deliver exportable matter reports, redline recommendations, and matter history
- Enforce subscription review quotas and administer trial entitlements via Paddle
- Execute on-demand document deletion and complete account purge requests
- Fulfill statutory compliance obligations
We do not sell, rent, or commercialize customer data, and we never utilize customer data for targeted third-party advertising or behavioral tracking.
4. Storage & security architecture
Security and confidentiality are fundamental to Coventis AI's infrastructure design:
- Encryption in Transit: All HTTP traffic and API calls are strictly mandated over TLS 1.3 with modern cryptographic cipher suites.
- Encryption at Rest: Database tables, matter metadata, and uploaded PDF documents are stored using 256-bit Advanced Encryption Standard (AES-256).
- Row-Level Security (RLS): Multi-tenant isolation is enforced at the database layer via PostgreSQL Row-Level Security policies tied to Supabase JWT authentication. Cross-tenant data access is programmatically impossible.
5. AI model training: strict zero-training covenant
Absolute Zero-Training Guarantee: Customer contract text, uploaded agreements, custom playbooks, user prompts, and generated legal analyses are never used to train, retrain, evaluate, or fine-tune public, commercial, or proprietary artificial intelligence models.
Coventis AI operates under enterprise API agreements with AI foundation providers (including Google Gemini Enterprise). Under these enterprise agreements:
- Document text transmitted for inference is processed transiently and discarded immediately after response generation
- Inference queries are completely excluded from foundational model training and human review pipelines
- Client privilege and confidentiality remain inviolate under strict commercial confidentiality obligations
Our revenue model is purely subscription software-as-a-service; we do not monetize data.
6. Third-party sub-processors & Paddle Merchant of Record
We partner with specialized, vetted infrastructure providers to operate Coventis AI. Each sub-processor is bound by data protection agreements consistent with GDPR Article 28 and institutional security standards:

7. Automated data retention & cryptographic purge
You maintain complete sovereignty over your documents. Data retention is governed by customer choice:
- Active Workspace Storage: Uploaded contracts and analysis results remain in your account for historical reference until you choose to delete them.
- 1-Click Individual Matter Purge: Clicking “Delete Analysis” in your workspace immediately and irreversibly purges the analysis record, extracted clauses, original PDF, and highlighted PDF from active storage.
- 1-Click Account Purge: In Workspace Settings, clicking “Delete Account” immediately cancels active Paddle subscriptions, invalidates session tokens, and executes a complete cryptographic deletion of your workspace profile and all associated matter history.
8. Your privacy rights (GDPR, UK GDPR, CCPA)
Regardless of your geographical location, Coventis AI respects universal privacy rights:
- Right to Access: request a comprehensive export of your workspace records.
- Right to Erasure (“Right to be Forgotten”): permanently wipe your documents and account using self-serve tools or by contacting support.
- Right to Rectification: correct or update inaccurate account information.
- Right to Data Portability: export generated reports in PDF, DOCX, and JSON formats.
- Right to Restriction & Objection: restrict processing of personal information.
To exercise rights not fulfilled directly through self-serve workspace controls, contact our privacy team at [email protected]. Requests are verified and answered within statutory deadlines (maximum 30 days).
9. Attorney-client privilege & professional ethics
We recognize that contracts uploaded to Coventis AI may involve legal confidences subject to attorney-client privilege, work-product doctrine, or professional rules of conduct (e.g., ABA Model Rules of Professional Conduct, Rule 1.6 in the United States, and SRA Standards in the United Kingdom).
Coventis AI provides technological safeguards (AES-256 encryption, zero model training, RLS tenant isolation, and on-demand purge) designed to satisfy an attorney's duty of technological competence and reasonable care. However, licensed counsel retains the sole professional duty to evaluate whether utilizing third-party AI analysis complies with jurisdiction-specific ethical guidance and client engagement agreements.
10. AI productivity disclaimer: no legal advice
IMPORTANT NOTICE: Coventis AI is an artificial intelligence software tool and does NOT provide legal advice.
All outputs generated by the Platform, including risk classifications, clause summaries, signing recommendations, negotiation playbook positions, and redline suggestions, are machine-generated for informational and workflow productivity assistance only.
Use of the Platform does not create an attorney-client relationship. AI-generated analyses must always be reviewed, validated, and finalized by a licensed attorney before taking legal action, executing agreements, or advising commercial clients. Coventis AI accepts no liability for decisions made in reliance on machine-generated findings.
11. Terms of service
Eligibility & Authority
You must be at least 18 years of age and possess the requisite legal authority to bind yourself or your organization to this Agreement.
Acceptable Use
You agree not to:
- Upload documents for which you lack lawful authorization or client permission
- Circumvent subscription quotas, authentication barriers, or security controls
- Scrape, reverse-engineer, decompile, or extract proprietary algorithms from the Platform
- Resell, sublicense, or white-label the service without an authorized enterprise partner agreement
- Represent AI-generated analysis outputs as independent licensed legal counsel without attorney oversight
Intellectual Property
You retain all right, title, and interest in documents you upload. Coventis AI asserts zero ownership over your documents or the resulting analysis outputs generated specifically for your workspace.
Limitation of Liability
To the maximum extent permitted by applicable law, Coventis AI's aggregate cumulative liability arising out of or related to this Agreement or the Platform shall not exceed the total subscription fees paid by you to Coventis AI in the twelve (12) months preceding the incident giving rise to liability. In no event shall Coventis AI be liable for indirect, punitive, special, or consequential damages.
12. Subscriptions, 14-day free trial & billing terms
Subscription Tiers & Review Quotas
Coventis AI offers tiered subscriptions (including Solo, Pro, and Team plans) billed on a recurring monthly or annual basis. Each tier includes an allocated monthly quota of contract reviews. Quotas reset at the beginning of each billing cycle and do not accumulate across periods.
14-Day Free Trial Terms
Eligible new accounts may activate a 14-day free trial on selected subscription plans. To prevent fraud, abuse, and unauthorized automated usage, a valid credit card or payment method is required upfront at checkout.
Zero Charge During Trial: Your payment method will not be charged during the 14-day trial period. You may cancel anytime before the 14-day trial period concludes via your self-serve billing portal (or by emailing [email protected]) without incurring any charge.
Automatic Conversion: If you do not cancel prior to the expiration of the 14-day trial, your subscription will automatically convert into a paid recurring subscription at the agreed rate and interval.
Paddle as Merchant of Record
All commercial transactions, subscription checkouts, invoice issuances, currency conversions, and global sales tax/VAT collections are conducted by Paddle.com Market Ltd (“Paddle”), our authorized Merchant of Record. When purchasing a subscription, you enter into a commercial relationship with Paddle subject to Paddle's Buyer Terms and Conditions.
Cancellation & Refund Terms
You may cancel your subscription at any time via the self-serve billing portal (/account/billing). Cancellation prevents future renewals while granting full access through the end of your prepaid billing period. Refund requests are governed by our Refund Policy and applicable statutory consumer protection regulations.
